The short version
- You have 14 days to change your mind about any booking, for any reason, with no charge — unless you have asked for the work to start sooner.
- Give more than 48 hours' notice and rescheduling costs nothing.
- If you end a programme part-way, you pay for what has actually been delivered. The unused balance is not forfeited.
- Any charge must reflect genuine loss. Nothing here is designed to be a penalty.
- None of this reduces your statutory rights as a consumer.
1. Your 14-day right to cancel
BeingVITAL is booked and agreed remotely, which makes it a distance contract. Under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, you normally have 14 days from the day the contract is made to cancel for any reason at all.
You do not need to give a reason, you do not need to justify it, and there is no charge for cancelling within that period — subject only to section 3 below, which applies if you have asked for the work to begin before the 14 days are up.
This is a statutory right. Nothing on this page, in the Terms of Engagement, or in any signed engagement document reduces it.
2. How to cancel
Email apply@beingvital.me, or write to the address below. A clear statement that you are cancelling is enough — the form in section 11 is offered for convenience, not required.

Your cancellation takes effect from the moment you send it, not from when it is read. Keep a copy. Russ will acknowledge in writing.
3. If the work starts inside the 14 days
Appointments are often wanted sooner than fourteen days away. If that applies to you, the engagement document asks you to make an express written request for the service to begin early. Two consequences follow, and they are set out in that document as well as here.
- If you cancel after the work has begun but before it is finished, you may have to pay a proportionate amount for what has actually been supplied.
- If the service is fully performed within the 14 days — for example the whole 90-minute consultation takes place — and you expressly asked for that early start, the statutory right to cancel is lost once performance is complete.
If you would rather keep the full 14 days, say so. The appointment is simply booked for a date beyond that period instead. You will never be pushed into an early start.
4. The Initial Consultation
These terms apply to rescheduling or missing a booked 90-minute Initial Consultation, once any statutory cancellation right no longer applies.
| Notice given | What happens |
|---|---|
| More than 48 hours | No charge. The appointment is rescheduled. |
| 24 to 48 hours | One free late reschedule. Beyond that, up to 50% of the fee (£147.50 at a £295 fee) may be charged — only where the time cannot reasonably be reallocated, and only to reflect actual loss. |
| Less than 24 hours, or a missed appointment | Up to 100% of the fee may be charged, again subject to actual loss and to what is fair in the circumstances. |
| Genuine emergency | Handled with discretion. Tell Russ as soon as you reasonably can. |
“Up to” means what it says. These are ceilings, not defaults. If a late-notice slot is filled, or the time is genuinely reallocated, there is no loss to recover and no charge is made.
5. Programme sessions
Within a twelve-week private programme, the rhythm matters more than any single appointment. These terms exist to protect that rhythm, not to generate income.
| Notice given | What happens |
|---|---|
| More than 48 hours | Normally rescheduled within the programme period. |
| 24 to 48 hours | One late reschedule is included during a twelve-week programme. Later late changes may mean the session is treated as used. |
| Less than 24 hours, or a missed session | The scheduled session may be treated as used. |
| Genuine emergency | Considered with discretion. |
Where a session is treated as used, no separate charge arises — the programme fee already covers it. What is lost is the session, not additional money.
6. Ending a programme early
You may end a private programme at any time by writing to apply@beingvital.me. If you are outside a statutory cancellation right, the financial position is settled fairly, by reference to three things:
- the services already supplied to you at the point you ended it;
- any reasonable, genuine, non-recoverable commitments already made specifically for your engagement; and
- the sums you have already paid.
The whole unused balance is not automatically forfeited. If you have paid in full and end at week four of twelve, you are not simply treated as having spent the lot. A calculation is done, it is shown to you in writing, and it can be questioned.
If you are paying by instalments
Instalments reflect a fee agreed for the whole programme, not a monthly subscription you can stop at will. If you end early, the settlement above determines what is owed or owing — which may mean a remaining instalment is still due, or reduced, or refunded in part. It will be set out plainly and in writing before anything is collected.
7. If Russ has to cancel
If Russ cancels or reschedules a booked appointment, you will be offered an alternative time as a first option, or a full refund of that appointment if you prefer. You are never charged for a change made at his end.
Russ may also end an engagement early where it is no longer an appropriate fit — including where something clearly needs clinical care rather than coaching. Where he does, the unused portion is refunded fairly, the reason is explained directly, and you are pointed toward what would help instead.
8. Pauses
A twelve-week programme is designed as a continuous period of work, because continuity is where most of the value sits. One pause of up to 14 days may normally be agreed in writing where it is genuinely needed. Longer or repeated pauses require a revised schedule or a separate agreement, so that the work does not quietly lose its shape.
9. How refunds are paid
- Refunds are made using the same method you paid with, unless you agree otherwise.
- Where a statutory cancellation right applies, refunds are made within 14 days of Russ being told you are cancelling.
- Other refunds are made within 14 days of the amount being agreed.
- There is no administration fee, and no deduction for the cost of processing.
10. The £295 consultation credit
Where the written offer confirms it, the £295 Initial Consultation fee is credited against an eligible twelve-week private programme if you proceed within 14 days of the consultation.
The credit is a reduction in the programme fee, not a separate refundable sum. If you later cancel or end the programme, the settlement in section 6 is calculated on the fee you actually agreed after the credit was applied.
11. Model cancellation form
You do not have to use this. Any clear statement will do. It is provided because the Regulations require a trader to make one available.
